Exporting your data
Your data is yours, and you can take it with you whenever you like, without opening a support ticket. There are two exports:
- the organization export, for owners and admins, which has everything the organization holds;
- the personal export, for everyone, which has your own account.
Both download a single JSON file. Under the GDPR you have a right to see your data (Article 15) and to take it elsewhere (Article 20). These exports are how Sekee meets both.
Organization export
Administration → Billing & Subscriptions → Your data → Export data. Owners and admins only.
It works on any plan, including none. It still works after a trial has ended, after a subscription has been cancelled, and while a deletion is scheduled. Leaving is when you need it most, so no plan limit applies.
What is in it
- The organization: name, slug, plan and its status, seats, and your policies.
- Every member: name, email, role, positions, title and join date.
- Every project and its settings.
- The test library: folders, test cases, steps (including custom field values), shared steps, custom fields, and comments on test cases.
- Bug hunts: their test cases, step results, bugs and comments.
- Exploratory sessions: their notes, comments and bugs.
- Automation: runs, comments on runs, the automated tests found in your reports, each test's result per run, and the error groups built from them. Automation source and tag names are included as well.
- Visual testing: every snapshot and baseline, as records. The images themselves are not included.
- Requirements, dashboards and their widgets, AI rules, and who follows what.
- API tokens and AI connectors, as metadata only: name, prefix, owner, created, last used and expiry dates.
- The Jira integration without its credentials: the site address and your sync preferences.
- Pending invitations: the address and role, without the invitation link.
- The activity log, with the detail your plan's audit tier includes. On a plan without an activity log there is nothing to export.
- A list of every uploaded file: its id, name, type, size, upload date and what it is attached to.
Relations between records are written as ids, for example "author": { "id": 7, "documentId": "…" }. The record they point to is elsewhere in the same file.
Rich text is exported exactly as stored (HTML). An embedded file appears as
@@file:<id>, and that id matches an entry in the file list.
What is not in it
- The contents of uploaded files. Screenshots, videos, attachments and CI report files are listed but not included, and the file has no download links in it. Download the files you want from the app while you still have access. Raw JUnit XML reports are files too, but their parsed results are in the export.
- Secrets of any kind: passwords, API token values, AI connector secrets, the Jira API token and its service-account email, the Jira webhook address, two-factor secrets and backup codes, and invitation links.
- Billing provider references and internal storage locations.
- Each member's personal settings, such as notification preferences, timezone and two-factor status. Each person can download those from their own export below.
Limits
You can start one organization export per minute. If you ask again sooner, the app tells you how many seconds to wait. A very large organization can be too big to download as one file. If that happens, the message asks you to contact support@sekee.io and we send you the export.
Every organization export is recorded in the activity log as Exported organization data.
Personal export
Settings → General → Download my data. Everyone, whatever their role, guests included.
What is in it
- Your profile: name, username, email, title, timezone, positions, role, and whether two-factor authentication is on. Only whether it is on, never its secret.
- Your organization's name and your role in it.
- Your notification preferences.
- Your AI connectors, as metadata: name, prefix, created, last used and expiry dates.
- What you follow, and the notifications you have received.
- Your own activity: every event in the activity log where you are the actor, whatever your organization's plan shows on screen.
- Your acceptances of the terms and policies, where they have been recorded.
- A list of what you have created: for each kind of record (test cases, comments, bugs, bug hunts, shared steps, requirements and so on), how many there are and their ids. The records themselves belong to your organization. An owner or admin can export them.
Your password, sessions, device records, two-factor secrets and connector secrets are never included.
You can download it once every 30 seconds. Each download is recorded in the activity log as Downloaded their personal data.
Not available to AI assistants
Neither export can be reached through an AI connector. An assistant acting for you has no reason to take the whole organization in one request, so both are refused. Download them from the app.
